We have designed a website for the city of Neustrelitz for online sick leave reporting for schools and nurseries, developed on the basis of the CMS WordPress, which is a benefit for both parents and the administration. In addition to its ease of use, the solution impresses with its multilingual capabilities and the timed collection list feature. This is how digitalization works in the municipal sector.

Every family knows it – even the author of this article suffered from it with his three own children: The morning starts hectic, one child is coughing, the other child has a fever. Now quickly grab the phone and inform the school and the daycare. But the school line is busy and at the daycare, you go straight to the voicemail. The parents are annoyed and the administrative staff are as well because the day begins particularly stressful for everyone involved. Isn’t there an easier way? Yes, there is.
A digital solution for sick leave reporting for Neustrelitz.
The city of Neustrelitz has recognized that it is time for a digital solution. It has oriented itself towards the Carolinum Gymnasium, which has already been allowing online sickness notifications since 2017 and has received over 32,000 notifications over the years. As an agency that had previously developed the website for the gymnasium, we have therefore collaborated with the city to create a simple, clear, and time-saving online solution for digital sickness notifications. Our website, specifically designed for Neustrelitz, allows parents to conveniently report their children sick online – in German, English, or Ukrainian. For parents with a migration background, reporting by phone can pose an additional challenge due to occasional communication issues. The multilingual solution is also welcomed by the administration, as it is not always easy to understand what is being said on the other end of the phone. Thus, all parents have the option to report their child’s absence in three language options. Of course, the application can also be expanded to other or additional languages.
User-friendly and transparent
The centerpiece of this website is its user-friendly structure: Parents first click on the corresponding institution (currently, five schools and two daycare centers are connected) and then fill out a short form. A central website for municipal schools and daycare centers makes sense, as sometimes both children are affected and the central website directly consolidates seven institutions. For certain daycare centers and elementary schools, the cancellation for lunch is already pre-set, ensuring that this cancellation is not forgotten either.
A special advantage: The secretariat immediately receives a notification via email. Parents simultaneously receive a confirmation email – double security and transparency guaranteed.
The website is of course also mobile optimized, as most sick reports are statistically made using a smartphone.
Innovative collection list feature
Another key advantage for the institutions is the innovative feature of the collection list. Every day at a set time, each school or daycare receives a complete overview of all incoming sick notifications in the form of a PDF or CSV file. This function greatly facilitates internal organization and saves valuable time that would otherwise be spent checking answering machines or managing individual emails.
